How to Choose the Right Cannabis POS System for Your Dispensary
Selecting the right point of sale system is one of the most important decisions a cannabis dispensary owner will make. Your POS touches every part of your operation: inventory tracking, compliance reporting, customer management, sales processing, and staff workflows. A poor choice can cost you thousands of hours in workarounds, while the right system pays for itself many times over.
The cannabis industry has unique requirements that general-purpose retail POS systems simply cannot address. From tracking THC percentages and terpene profiles to calculating equivalent gram limits for customer purchases, your POS needs to speak the language of cannabis. Here is what to look for when evaluating your options.
Offline Capability Is Not Optional
If your POS system requires a constant internet connection, you are taking a significant risk. Internet outages happen everywhere, but they are especially common in rural and remote areas where many Indigenous dispensaries operate. When your connection drops, a cloud-only POS leaves your registers dead and your customers waiting.
Look for a system with genuine offline capability, not just a “limited offline mode” that only lets you view past transactions. A truly offline-ready POS should allow you to continue ringing up sales, applying discounts, looking up customer profiles, and scanning barcodes even when the internet is completely down. When the connection returns, all transactions should automatically sync without any manual intervention.
The best implementations use a local data store on the register itself, such as IndexedDB in a Progressive Web App, so the POS functions identically whether you are online or offline. This is a fundamental architectural decision that cannot be bolted on after the fact.
Compliance and Reporting Tools
Cannabis regulations vary by province, territory, and jurisdiction. Your POS must handle the specific compliance requirements that apply to your operation. At a minimum, look for:
- Daily purchase limit tracking with equivalent gram calculations across product categories (dried flower, edibles, concentrates, topicals)
- Federal and provincial reporting support, including SLGA reporting for Saskatchewan or equivalent for your jurisdiction
- Audit trail on every transaction, product change, and inventory adjustment, with timestamps and user attribution
- Age verification prompts integrated into the checkout flow
- Export-ready reports in formats that regulators accept
Compliance is not a feature you want to manage through spreadsheets. When an auditor arrives, you need to pull accurate records instantly, not spend days reconstructing data from multiple sources.
Cannabis-Specific Inventory Management
General retail inventory is straightforward: you have SKUs with quantities. Cannabis inventory is far more nuanced. Your POS should handle:
Strain and Product Tracking
Every product in a dispensary carries metadata that matters to customers: strain type (indica, sativa, hybrid), THC and CBD percentages, dominant terpenes, effects, and flavour profiles. Your POS should store and display this information at the register so budtenders can answer customer questions quickly and accurately without leaving the checkout screen.
Quality Tiers and Weight-Based Pricing
Many dispensaries use quality tier pricing, where the same strain is available at different price points depending on quality grade (AA, AAA, AAAA, AAAA+). Your POS should support pricing matrices that let you set per-gram prices across quality tiers and weight presets (1g, 3.5g, 7g, 14g, 28g) without creating dozens of individual SKUs.
Weight-based selling is another cannabis-specific requirement. If you sell flower by weight, your POS should integrate with a digital scale, pull the weight directly into the transaction, and calculate the price automatically. Manual weight entry introduces errors and slows down service.
Batch and Lot Tracking
Being able to trace products back to specific batches is essential for recalls and quality control. Your POS should let you assign lot numbers or batch IDs to inventory and track which customers purchased items from a specific batch if a recall ever occurs.
Cloud vs. On-Premise Deployment
Deployment architecture affects reliability, cost, and control. There are three common approaches:
Cloud-hosted (multi-tenant) is the most common model. Your data lives on the vendor’s servers, each store gets a subdomain, and you access the system through a web browser. The advantages are zero hardware maintenance, automatic updates, and accessibility from anywhere. The trade-off is dependence on both the vendor’s uptime and your internet connection.
On-premise (self-hosted) means the entire system runs on hardware in your store. You have complete control over your data and zero dependence on external servers. This is ideal for locations with unreliable internet or operators who want full data sovereignty. The trade-off is that you are responsible for hardware maintenance and backups.
Hybrid combines both: a cloud dashboard for remote management and reporting with a local device at each register that handles sales independently. This gives you the best of both worlds but adds complexity.
The best vendors offer flexibility here. A dispensary in downtown Toronto has different infrastructure needs than one operating on a remote First Nation reserve. Your POS vendor should meet you where you are, not force you into a single deployment model.
Integration With E-Commerce and Payments
If you sell online, your POS and e-commerce platform need to share a single source of truth for inventory. Look for native integrations with platforms like WooCommerce or Shopify that automatically sync products, prices, and stock levels in both directions. Without this, you risk overselling products that are already sold out in-store.
Payment processing in cannabis is notoriously challenging. Many traditional processors will not work with cannabis businesses. Your POS should integrate with cannabis-friendly payment solutions, including Interac debit processing, which is the primary payment method for many Canadian dispensaries. Ask vendors specifically which payment processors they support and whether there are additional fees beyond the processor’s own rates.
Customer Management and Loyalty
Repeat customers are the lifeblood of any dispensary. Your POS should include built-in customer profiles that track purchase history, preferences, and loyalty points. Configurable loyalty programs with tiered rewards let you incentivize repeat visits without relying on third-party loyalty apps that add monthly costs and fragment your data.
Store credit management, birthday rewards, and the ability to flag medical versus recreational customers are features that elevate a POS from adequate to excellent.
Pricing: Total Cost of Ownership
Monthly subscription fees are only part of the picture. When comparing POS systems, account for the full cost:
- Per-register fees: Some vendors charge per terminal, which adds up quickly for multi-register setups
- Transaction fees: Watch for POS vendors that take a percentage of each sale on top of payment processing fees
- Hardware requirements: Does the system require proprietary tablets or terminals, or does it run on any device with a browser?
- Integration costs: Are WooCommerce sync, loyalty programs, or delivery features included, or are they paid add-ons?
- Support tiers: Is phone and chat support included, or do you need to pay extra for anything beyond email?
A system that appears cheaper on the monthly fee can end up costing significantly more once you factor in per-register charges, required hardware purchases, and paid add-ons for features you assumed were included.
Making Your Decision
The right cannabis POS is one that fits your specific operation. A single-location dispensary has different needs than a multi-store chain.
